We shoot to a list, not to a vibe.
Before the doors open we already know what has to be captured and when. The must-haves get shot first. Everything good that happens after that is a bonus, not a gamble.

We go through your schedule, your sponsor commitments, and what marketing needs for next year, then build a shot list from that. You approve it before anyone picks up a camera.

Venue scout and load-in
We sort out access with the venue and your AV team ahead of time and get in position before doors open. Nobody is learning the building while your keynote is happening.

Coverage across the run of show
Sessions, expo floor, activations, portraits, and the evening events. If concurrent tracks mean one photographer can’t cover it, we’ll have told you that in step one rather than on day two.

Bringing your conference to Puerto Rico
Puerto Rico has become a serious meetings destination, and the reasons are practical: no passport for US travelers, direct flights from most major hubs, US currency and regulations, and venues that run from a full convention center to resort ballrooms to historic properties in Old San Juan — most of them within 30 minutes of the airport. The island itself is part of your pitch to attendees, which means it should show up in your photos too.
Hiring locally changes the math on coverage. There’s no travel line item, no crew arriving jet-lagged the morning of day one, and no one learning the venue while your keynote is happening. We can scout the space beforehand, sort out load-in with the venue, and be in position before doors open. Ghost Edits has been producing commercial photo and video across Puerto Rico since 2022, for organizations based here and for groups using the island as a destination. What event organizers actually ask us before we start working together.
Do you work with organizations flying into Puerto Rico for their event?
Regularly. Most of our conference work is for groups coming in from the mainland. We can scout the venue ahead of time, coordinate with your AV and venue contacts, and handle production logistics so your team isn’t solving problems on day one. You’ll have someone on the ground who already knows the building.
How many photographers does a multi-day conference need?
It depends on how many things are happening at once. A single-track day with one ballroom is usually fine with one photographer. Once you’ve got concurrent breakouts, an expo floor, a headshot station, and an evening event, you need a second shooter or you’re choosing which of your sponsors gets ignored. We’ll look at your run of show and tell you straight — including when you don’t need the extra body.
Can we get photos the same day for social and press?
Yes. We deliver a batch of edited selects the same day, including vertical crops for stories and reels. It works best when it’s planned from the start rather than asked for at 6pm on day one, so tell us early and we’ll build the turnaround into the schedule.
Do you deliver separate galleries for sponsors?
We do, and we’d recommend it. Give us the sponsor list and their deliverables before the event and we’ll shoot against it, then organize the gallery by brand so you can send each sponsor their own set. It makes the wrap report easier and the renewal conversation a lot easier.
Can you run a headshot station for attendees?
Yes, and it’s one of the perks attendees remember. We’ll need a corner with enough space for a backdrop and lighting, and a rough headcount so we can plan the throughput. Sponsors will often underwrite it if you offer it to them — it’s an easy activation to sell.
Do you shoot video too, or just photography?
Both, with the same team. Tatianna leads photography, Amanda leads cinematography and editing. That means your recap video and your stills look like they came from the same event, and you’re managing one vendor instead of two.
What does conference photography cost?
It’s scoped per event — a one-day summit with 80 people is a different job than a three-day convention with an expo floor and four sponsors. We don’t publish a rate card because a number without your run of show attached isn’t useful to either of us. Send us the details and we’ll put together an honest estimate.
